In short

How do you plan a Kerala wedding while living abroad?

A Kerala wedding is planned from abroad over a cycle of scheduled video calls in the family’s evening hours, with every decision, design and payment confirmed in writing, and usually one trip to Kerala before the wedding week itself.

Plenty of Kerala weddings are decided at a kitchen table in another country. The couple is in one timezone, one set of parents in another, the venue in a third, and everybody has a full-time job. Here is what the process actually is, because “we work remotely” tells you nothing.

The cycle, not the miracle

Remote planning is not one heroic video call. It is a cycle that repeats every few weeks for the better part of a year, and each loop has the same shape:

  • A call in your evening. Scheduled after your workday, not ours. Venue walkthroughs, design reviews, budget checkpoints — whatever the month demands.
  • The decision, in writing. Nothing agreed on a call counts until it is confirmed in writing. Enthusiasm at 10pm is not a contract.
  • The work on the ground. Between calls, someone in Kerala does the physical part: walking properties, sitting with vendors, chasing the parish office or the hall manager in person.

Writing is what keeps three timezones honest. Designs, budgets, approvals and payments should live in one shared record that any of you can open at three in the morning. When a decision is questioned in month eight, the answer is a scroll, not an argument.

Venues, seen twice

Every serious venue gets seen twice. The first visit is ours, on video: we walk the lawns, the hall, the rooms and the kitchen with the camera running, and the follow-up arrives in writing — photographs, floor plans, the venue’s current numbers. The second visit is yours, in person, and it is the reason the single trip works: by the time you fly, the shortlist is two or three properties, not eleven, and the trip compresses into a day or two of visits, the food tasting and the family sit-down.

One trip before the wedding week is the honest norm. Not zero, since tasting food over video remains beyond us, and rarely more than one, because the cycle has already done the rest.

The calendar is the first conversation

For overseas families the date needs one extra discipline: leave windows travel to Kerala before the astrologer or the parish produces a shortlist, not after. Reconciling three countries’ annual leave against one blessed hour is straightforward in that order and miserable in reverse. The whole date question (which months the calendars keep clear, why the venue must be booked the same fortnight the date arrives) is covered in the 12-month checklist and on the planning-from-abroad page, which is the full write-up of everything in this post.

The wedding week, in two timezones

By the time you land, the run-sheet should exist in print, in both timezones. Ask for continuity: the person standing at the venue should be someone who has been on the calls, not a local crew who met your wedding yesterday. The people who argued with you about the pavilion in March should be the people rigging it in December.

Not only Kerala, and not only Malayalis

The Kerala Wedding Collective plans for families from Kerala, elsewhere in India and abroad. Agree which decisions need an in-person visit before booking travel.

The wedding happens in Kerala. You, until the week itself, do not have to.

Questions we hear on this

How many video calls does planning a wedding from abroad take?

A call every few weeks across the planning year is the working rhythm — heavier around the venue decision and the design reviews, lighter mid-cycle. Each call ends with its decisions confirmed in writing, which is what lets weeks pass between calls without anything drifting.

Do we need family in Kerala to make remote planning work?

No. Family on the ground is welcome and sometimes wonderful, but the process does not depend on it — the venue visits, vendor negotiations and in-person chasing are what the local team is for. Confirm who will attend site visits and report back to you.

When should an overseas couple make their one planning trip?

After the video shortlist and before the design is locked: the trip should settle the venue, the food tasting and the family sit-down in one visit. Booking the flight before there is a shortlist to walk is an easy sequencing mistake — the trip spends better once the cycle has narrowed the choices.

Tell us about the wedding

Your name and a WhatsApp number are enough to start. Add the month or the guest count if you know them.

Include the country code. We reply on WhatsApp.

What happens after you enquire

  1. A planner replies on WhatsApp within one working day. Expect questions about the date, the numbers and the community the wedding follows.
  2. A written scope and a fee band. What we would do for this wedding and what it costs, before you decide anything.
  3. A video walkthrough if you are abroad. Shortlisted venues walked on camera in your evening, so the single trip to Kerala is spent deciding, not looking.
